Leasing Process

Phase I: Clarification of Needs

1. Initial Tenant – Broker Interaction
We offer real estate representation and representation agreement as well as the development of company profile. These include goals, preferences, and financial constraints.

Our team will establish the organization and responsibilities between the tenant and broker. We will then select a space planner to assess needs, such as growth patterns and communications, and appoint an individual within the tenant’s organization as the primary contact.

2. Evaluating Tenant’s Current Site
We will identify both advantages and disadvantages of remaining at the present location. Our team will also determine whether undesirable attributes are curable. To renegotiate the lease, we will assess the landlord's motivation to renegotiate the lease and then evaluate the lease agreement and other occupancy costs.

Phase II: Review of Marketplace – Office Space Survey

We provide a comprehensive survey of all viable tenant site selections based on established criteria. This shows rental rates, rentable or usable square feet, tenant improvements, and more.

Our team will review alternatives with the tenant, recommending the pros and cons of each selection. We will also arrange for the tenant to tour and inspect each building of interest and reduce the number of alternatives to a range of three to four sites.

Phase III: Lease Negotiations

We will help you develop lease strategy and Request for Proposal (RFP) documents. We will then submit RFP and preliminary general space plan needs to all landlords. At the landlord's expense, we will complete the specific space plan of any preferred building.

We will then receive all landlord proposals, perform comparisons on behalf of the tenant, and review with the tenant all submitted lease proposals as well as clarify where necessary. We will develop and submit counter proposals incorporating tenant changes. Finally, we will conclude lease proposal negotiations with primary and secondary site selection and commence negotiations on lease documents.

Phase IV: Construction and Occupancy

  1. Space Plans and Construction Drawings
  2. We offer preliminary architectural, mechanical, and electrical plans. Our services also include reviewing, revising, and approving construction drawings.
    We will help you competitively bid construction drawings, identify and select the general contractor, and develop the construction schedule and occupancy date. Finally, we will establish a progress reporting system.

  3. Vendor Coordination
  4. Our team will develop a list of systems and service vendors, such as telecommunication, computer, and furniture. We will then coordinate building access, installation, and testing of systems with vendors and contractors. Our team can also facilitate communication between the client, vendors, general contractor, and site management.

Purchase/Sale Process

Phase I: Transaction Goals

We will determine with the client the objective of the purchase, sale, or exchange. We will also identify and characterize building attributes, such as age, location, and construction. In addition, we will prepare a comprehensive analysis of comparable real estate projects, the general market conditions, and the transaction strategy.

Phase II: Marketplace Review

Our team will perform a comparable sale and lease analysis for property valuation. We will arrange for the client to tour and inspect each comparable building site, prepare or obtain property marketing brochures, and distribute them to the target market.

Phase III: Negotiations

With client approval, we will develop and submit proposals and/or counterproposals. We will then negotiate the purchase and sale agreement in conjunction with the client and attorneys. After that, we will review with the client the various costs and services available at escrow and title companies. We will then locate and evaluate the sources of commercial real estate capital for project finance.

Phase IV: Contingencies

Our team will prepare and coordinate the schedule for contingency process or document review as well as arrange for the opening of escrow and the running of preliminary title work. If the client elects an Alta survey, we’ll arrange for the extended survey work.

We will then arrange for space planning for construction personnel or others to survey the site and coordinate property inspections for electrical, hazmat, ADA, and more. Our team will also assist in negotiating any property pricing adjustments arising from inspections.

Phase V: Closing – Post-Closing

We will assist in post-closing project strategies. These include lease-up and renovation management.
